Staffing is the biggest controllable cost in a dog daycare, and it is also the number most owners guess at. Too few handlers on the floor and playgroups get risky; too many and the day loses money before the first dog goes home. This calculator turns your peak dog count and your own handler-to-dog ratio into a headcount, a daily hours figure, and a labor cost per dog so you can plan a schedule with real numbers.

The math is deliberately simple. It divides your peak dogs on the floor by the ratio you set and rounds up, because you cannot schedule two thirds of a person. It then multiplies that headcount by the hours dogs are on the floor, applies your hourly wage and payroll burden, and spreads the daily cost across every dog you check in. It does not model breaks, overlapping shifts, or the front desk, so treat the result as a floor, not a final schedule.

Add the hours dogs are on the floor, the handler wage, and your payroll burden percentage.

What the math assumes

Handlers needed is your peak dog count divided by your ratio, rounded up to the next whole person.
Every handler is assumed to be on the floor for the full floor hours you enter; breaks, overlap, and cleaning time are not added.
The daily cost is handler hours times hourly wage times one plus your payroll burden percentage, with 12% as the default burden until you change it.
Front desk, management, and grooming staff are not included; this is floor supervision only.
Cost per dog-day divides the daily labor cost by total check-ins, so half-day dogs count the same as full-day dogs.

Frequently asked questions

Why does the calculator round handlers up instead of showing a decimal?

Because a ratio of 15 with 40 dogs gives 2.67 handlers, and the third person has to be there from the moment the 31st dog arrives. Rounding up matches what actually happens on the floor.

What ratio should I enter?

Use whatever you actually run, or the number your state, county, or insurer requires if one applies. The default of 15 is only a starting point and is not a recommendation for your facility.

Does the labor cost per dog include the front desk?

No. The tool covers floor supervision only. Add your desk and management payroll separately when you build a full cost per dog.

Why is handler hours higher than one person's shift?

Handler hours is total person-hours, so three handlers over a ten hour floor day equals 30 hours. Divide by your shift length to see roughly how many shifts you need to fill.
